TheatreWorks/Evergreen Facilities Manager Position

TheatreWorks is seeking a part-time facilities manager (15-20 hours per week, flexible schedule) who is responsible for the daily operation of TheatreWorks on the Square and Evergreen Theatre, 1705 Poplar, and the coordination of companies that use the spaces. 
 
The all-volunteer Board is looking for a take-charge person who works largely independently, without day-to-day supervision, who believes in the TheatreWorks mission and views the job as TW’s top Cheerleader and Guru – keeping these facilities alive and functional on a limited budget.
 
These two venues – TheatreWorks and Evergreen – play host to a diverse array of productions, classes, rehearsals. The manager is both the general “caretaker” of the facilities and the point person for companies to contact when there are questions/problems that need addressing.
 
The Manager collects rental fees, keeps records and reports regularly to the TW Board of Directors.
 
The job has three major components:
 
Building Maintenance
 
The manager should have some background on how theaters generally work and operate, with an understanding of lighting, sound and projection systems in order to answer basic questions to those using the buildings. Some regular tasks include:
 
  • Ensuring that all the buildings’ systems are functioning daily – plumbing, HVAC, Lights – and coordinating their repair and maintenance with contractors, along with the TW Board. 
  • Watching the thermostats and lights. 
  • Promptly identifying problems that arise at the buildings (leaks, broken doors, lighting problems, flooding bathrooms, HVAC failures) and initiating repairs. 
  • Making simple repairs such as changing light bulbs, putting the trash on the curb on pickup days, or adding reflective tape to Evergreen floor.
  • Keeping our supply closets stocked in both theaters and coordinating with cleaning companies.
  • Coordinating with lawn service people. 
  • Identifying building issues that may be fixed by volunteers. 
  • Ensuring that the rehearsal spaces are kept in order and ready for use. 
  • Checking mailboxes at both theaters and our main mailbox at Playhouse on the Square.
  • Keeping the exterior of TheatreWorks and Evergreen free of litter and removing vagrants from the premises (or calling the police).
  • Being able to lift or move chairs, small-ladders, lighting equipment.
  • Ensuring that dressing rooms are in working order with working lights.
 
Coordinating with Companies
 
  • The manager oversees bookings and scheduling of the facilities so that there are no conflicts with dates. 
  • The manager is generally able to answer phone calls by company reps at times when the buildings are occupied in the event of emergencies.
  • The manager monitors TheatreWorks email accounts, and contacts companies with information regarding the theaters. 
  • The manager ensures Resident and Associate companies have signed contracts and insurance riders on file. 
  • When outside groups inquire to rent the space, the manager goes over the details of bookings. 
  • Ensures companies fulfill their contractual responsibilities in general cleaning and use of space. 
  • Maintaining a good working relationship with the companies and creating operational policies that are agreeable and with input from the Board.
 
Administrative
 
  • Attending Board Meetings and company work days – we have a monthly Ad Hoc meeting, one monthly executive meeting, a quarterly full board meeting and various work days. 
  • Keeping an eye on the TheatreWorks bank account. 
  • Invoicing Resident and Associate companies each month for office rental, studio rental, and performance rental. 
  • Turning in receipts to our board treasurer.
  • Keeping accurate records of cash flow in the organization.  
 
The Manager job does NOT entail:
 
  • Deep cleaning of bathrooms (we have a company that does that every two weeks.)
  • Fixing electrical, mechanical or other problems that would otherwise require a specialist (we hire plumbers, electricians and specialists)
  • Being at the theater whenever it is in use. (However, outside rentals may need extra supervision).
  • Running lights or sound, building or striking scenery, assisting companies with their productions. 
  • Dealing with unruly audience members. 
  • Managing the TW website or social media.
 
PERKS!
 
The hours are largely flexible. 
 
The manager gets a pair of tickets to all TW productions. 
 
The facilities manager can earn extra income – $25 per hour – as an on-site supervisor for private events when one is needed.
